THE ROLE OF GRANT WRITING & PROPOSAL SUPPORT

Start with the project and the funder.

A grant proposal needs to explain the need, the proposed response, the people involved and the intended outcomes. The narrative also needs to follow the funder’s questions, assessment criteria, limits and required attachments.

Support can cover a first draft, a review of an existing proposal or coordination across several contributors. The starting point is the application brief and the information your organization can substantiate—not a promise of funding.

WHAT THE SCOPE CAN INCLUDE

Choose the support.
Define the deliverables.

Opportunity and requirements research

Organize the supplied opportunity’s criteria, deadlines, application questions and required documents. Additional opportunity research can be agreed as a separate scope.

Proposal drafting and editing

Develop the project narrative from approved information. Shape the need, objectives, activities, delivery plan and intended outcomes around the application questions.

Evidence and document coordination

Track information needed from project leads and partners. Organize sources, supporting documents and the relationship between the narrative and the client-approved budget.

Application review and preparation

Check the draft against the agreed requirements, word limits and attachment list. Flag gaps, inconsistencies and open questions for the organization to resolve.

WHAT TO SHARE

A strong brief starts with usable evidence.

  • The funding opportunity, application instructions and deadline.
  • Organization background and confirmation of applicant eligibility.
  • Project objectives, activities, beneficiaries, delivery team and intended outcomes.
  • Verified supporting evidence, previous work and partner contributions.
  • The approved budget, attachments, decision-maker and review availability.

HOW THE WORK TAKES SHAPE

Clear inputs.
An agreed review process.

  1. 01 / Assess the brief

Review the opportunity, available evidence, deadline and type of support required.

  2. 02 / Map the application

Create an outline and input checklist against the funder’s questions and limits.

  3. 03 / Draft and review

Prepare the agreed sections, identify evidence gaps and collect consolidated feedback.

  4. 04 / Prepare for submission

Resolve agreed revisions and check the final document set with your authorized reviewer.

RESPONSIBILITIES & REVIEW

A clear proposal. An accountable process.

Your organization remains responsible for eligibility, the accuracy of supplied information, the approved project and budget, declarations and final submission authority. Portal submission or account access is included only when explicitly agreed.

Funding decisions belong to the funder. Writing support cannot guarantee an award. Specialist technical, scientific, legal or financial content requires appropriate client or subject-matter review; post-award management and reporting are separate scopes.

For US federal opportunities, Grants.gov explains why applicants should check the eligibility requirements in each funding notice before preparing an application. Read the Grants.gov eligibility guidance ↗

BEFORE WE START

Useful questions.
Clearer expectations.

Can you review a proposal we have already written?

Yes. A review can focus on structure, clarity, consistency, evidence gaps and alignment with the supplied application requirements. Agree whether rewriting or additional research is included.

Do you guarantee grant approval?

No. The funder decides which applications receive support. We scope the writing and coordination work, while eligibility, evidence, project fit and the funder’s assessment remain important.

Can you find suitable grants as well as write applications?

Opportunity research can be discussed separately from writing a known application. Share your organization type, project, geography and funding requirements so the research scope and suitability can be assessed.

Who provides the project budget and technical information?

Your authorized team supplies and approves the budget, technical information and factual claims. Writing support can identify inconsistencies or missing inputs, but it does not replace specialist review or organizational approval.

What affects the scope and timeline?

Application complexity, research needs, document readiness, technical review, partner inputs and revision rounds all matter. Share the deadline and existing materials early; availability and feasibility must be confirmed before work begins.
